Annual leave process from 1 January 2025

From 1 January 2025, we will move to the Oracle Fusion annual leave process. The main changes are explained on this page.

Annual leave carry over

Your unused leave from your 2024 balance will carry over on 1 January 2025 as normal, and any unused carry over will be automatically removed on 1 February.

Annual leave and public holidays

Your 2025 leave entitlement will now include your pro rata public holiday entitlement. Employees who receive fixed public holidays will need to request these at the start of January each year, so they clearly show on your annual leave calendar across the year. If a public holiday falls on a non-working day this does not need to be requested.

There is no change to the process for employees with floating public holidays, as these can be taken at any time during the leave year.

Employees with more than one post (multiple assignment)

From 1 January 2025 annual leave entitlements will be recorded again each individual assignment. This means that employees with more than one post will have a separate annual leave balance for each post. If unused leave has been carried over into January, we will arrange for this to be recorded correctly against your posts.

From 1 January, employees with more than one assignment will submit annual leave requests separately against each post and annual leave requests will be sent to the relevant line manager to approve.

Automated approach to changes that affect annual leave

From 1 January 2025 some of the manual work for managers and personnel services will be removed. Oracle Fusion has been designed to allocate annual leave plans automatically to employees (except teachers and term time employees as they do not have fixed periods of leave). This will happen in the following situations

  • New employees – managers no longer need to allocate an annual leave plan or use the annual leave calculator to work out an employee’s annual leave entitlement. This will automatically be assigned to the employee
  • Contract changes during the year - annual leave plans and entitlements will be automatically updated if an employee changes their contract or post mid-way through the year
  • Leavers - employees who leave the council should use up their remaining pro rata annual leave entitlement before their last day of employment. However, if this is not possible, Oracle Fusion will automatically identify how many hours are remaining or how many hours are owed. The value of this leave will be paid or deducted automatically from an employee’s final pay. However we may still contact managers for confirmation that this is correct.

Updating annual leave balances

Managers are still able to manually update an employee’s annual leave balance when they need to, such as when an employee returns from maternity leave.
